Terms & Conditions

These Terms & Conditions apply to reservations made directly with York House Hotel, including reservations made
through our website. Where a reservation is made through Booking.com, Expedia or another third-party booking agent,
that agent’s applicable booking, payment and cancellation conditions may also apply.
By making a reservation, the person making the booking confirms that they have authority to make the booking and
agrees to these Terms & Conditions on behalf of themselves and the guests included in the reservation.
1. Check-in and Check-out
Check-in is between 4.00pm and 9.00pm on the date of arrival. Check-out is by 10.30am on the date of departure.
Earlier check-in or later check-out may be available only by prior arrangement directly with the Hotel and cannot be
guaranteed.
York House Hotel does not operate a 24-hour reception. Guests expecting to arrive outside the stated check-in times
must contact the Hotel in advance.
End of Stay – A reservation ends at 10.30am on the confirmed departure date. Guests must vacate their room and
return their Hotel key card by that time.
Any extension of a stay must be agreed directly and verbally with York House Hotel before the existing reservation
ends. Payment, or an offer of payment for additional nights by the guest or any third party, does not extend a reservation
unless the Hotel has directly and verbally agreed to the extension.
2. Group Bookings
A group booking is a booking of three or more rooms.
Group bookings must be confirmed directly with York House Hotel by telephone before a reservation is made.
The Hotel does not accept stag or hen party bookings.
3. Room Occupancy and Guest Registration
The maximum number of adults permitted in any room is two.
All persons occupying a room must be registered with the Hotel. The number of guests staying must not exceed the
number stated on the confirmed reservation or the maximum permitted occupancy of the room.
Unregistered persons must not stay overnight without the prior agreement of the Hotel and payment of any applicable
additional accommodation charge.
4. Guest Identification, Payment Card and Pre-authorisation
The Hotel may request valid photographic identification or other reasonable verification from the lead or occupying guest
where necessary to verify the identity of the guest, their authority to use the reservation, or for safety and security
purposes.
The person occupying the accommodation must be named or otherwise properly authorised under the reservation.
A valid credit or debit card must be presented by the lead guest at check-in. A £100 pre-authorisation will be
required on the card as security for additional charges which may arise during the stay. This requirement
applies even where the accommodation has been prepaid or paid for by a third party. If a valid card cannot be
provided, or the required pre-authorisation is declined, check-in may be refused.
A pre-authorisation is not a payment. The amount is temporarily reserved by the guest’s card issuer. Where no amount is
properly due to the Hotel, the Hotel will release the authorisation following departure. The time taken for the funds to
become available again is determined by the guest’s bank or card issuer.
Where reasonably requested identification or verification cannot be provided, the Hotel may refuse check-in.

Where a booking is made or paid for by someone other than the guest staying at the Hotel, the full name of the
occupying guest must be provided.
York House Hotel provides short-stay hotel accommodation only and does not accept bookings intended as
residential, emergency, temporary housing or other accommodation placements, unless expressly agreed by the Hotel in
advance.
The Hotel may verify the booking and the identity of the occupying guest before check-in. Where the nature of the
booking has not been accurately disclosed, or reasonable verification cannot be provided, check-in may be refused.
6. Online Bookings and Payment
Full payment is taken at the time of booking for reservations made through the York House Hotel website.
Different rate plans have different cancellation and refund conditions. The applicable rate and its conditions are
displayed during the booking process and form part of the reservation.
Standard / Refundable Rate – Full payment is taken at the time of booking. Where the reservation is cancelled within
the permitted cancellation period, the amount paid will be refunded less a £10 administration fee per reservation to
cover the administration and costs associated with processing the cancellation and refund.
Advance Purchase / Non-refundable Rate – Full payment is taken at the time of booking. This rate is non-cancellable
and non-refundable, subject always to the guest’s statutory rights.
By confirming a reservation and making payment, the person making the booking confirms that the booking details
supplied are accurate and agrees to these Terms & Conditions and the conditions applicable to the selected rate.
Bookings made through Booking.com, Expedia or another third-party booking agent may be subject to the payment,
cancellation and refund conditions applicable to that reservation.
7. Cancellation Policy
Standard / Refundable bookings may be cancelled or amended in writing by email or letter without cancellation charge
by noon, 48 hours before the day of arrival.
Where a booking is cancelled within this period, payments already made will be refunded less the £10 administration
fee per reservation.
For group bookings, the cancellation period is seven days before the day of arrival.
Where a Standard / Refundable booking is cancelled or amended after the applicable cancellation deadline, the full
booking amount is payable and no refund will be due.
Failure to arrive for a reservation without cancellation (no-show) will be treated as a late cancellation and the full
booking amount will remain payable.
Advance Purchase / Non-refundable bookings cannot be cancelled or refunded.
We recommend that guests have appropriate travel insurance.
Nothing in this policy affects a guest’s statutory consumer rights.
8. Right to Refuse a Booking or Check-in
York House Hotel reserves the right to refuse a booking that materially fails to comply with these Terms & Conditions.
The Hotel also reserves the right to refuse check-in where, acting reasonably on the circumstances presented at arrival,
the Hotel considers that a guest’s conduct or condition creates a significant safety, security, welfare or
serious-disturbance risk to the guest, other guests, staff or the property.
This may include threatening, abusive, aggressive or seriously disruptive behaviour, or intoxication to an extent that
makes safe occupation of the Hotel impracticable.
The Hotel may also refuse check-in where: (a) the identity of an occupying guest cannot reasonably be verified; (b) the
person presenting for accommodation is not named or properly authorised under the reservation; (c) the number of
persons seeking accommodation exceeds the number booked or the permitted room occupancy; (d) the mandatory
payment-card/pre-authorisation requirement has not been satisfied; or (e) there is another material breach of these
Terms & Conditions.

equally to all guests.
9. Guest Conduct and Inappropriate Behaviour
All guests, visitors and staff have the right to be treated with dignity and respect.
Threatening, abusive, aggressive, violent, seriously disruptive or other inappropriate behaviour will not be tolerated.
Guests must not behave in a manner that creates a significant safety, security or serious-disturbance risk to themselves,
other guests, staff or the property.
Where the Hotel reasonably considers that a guest’s conduct or condition presents such a risk, it may refuse check-in or,
where a stay has already commenced, require the guest to leave the Hotel.
Depending upon the nature and severity of the circumstances, the Hotel may contact the police, ambulance service or
another appropriate emergency or statutory service.
Where check-in is refused or a stay is terminated, any refund, cancellation charge or other payment will be determined in
accordance with the applicable booking conditions, consumer law and, where the reservation was made through a
third-party booking agent, the applicable conditions of that booking.
10. Equality and Non-discrimination
York House Hotel applies its booking, admission and guest-conduct policies consistently and without unlawful
discrimination.
Nothing in these Terms & Conditions is intended to restrict guests’ statutory rights or the Hotel’s obligations under the
Equality Act 2010, including its obligations towards disabled guests and to make reasonable adjustments where
required.
11. Pets and Assistance Dogs
Pets are not accepted at York House Hotel, with the exception of assistance dogs.
Guests requiring a reasonable adjustment are welcome to contact the Hotel before arrival so that appropriate
arrangements can be discussed.
12. Smoking and Vaping
York House Hotel is a non-smoking property. Guests who smoke or vape inside the property may be required to
leave and will be responsible for reasonable costs incurred by the property as a direct result, including
additional cleaning, damage and demonstrable loss arising from a room being unavailable.
13. Fire Safety Equipment
Guests must not tamper or interfere with any fire-detection, alarm or firefighting equipment, including smoke detectors,
alarm call points and fire extinguishers.
Where a guest deliberately, negligently or recklessly interferes with fire-safety equipment, the Hotel may require the
guest to leave and may recover the reasonable costs incurred as a direct result.
Serious incidents may be reported to the police, fire service or another appropriate authority.
Where damage or interference is discovered after departure, the Hotel may seek recovery of the reasonable costs
incurred from the responsible guest in accordance with applicable law and payment-provider requirements.
14. Damage to Hotel Property
Guests are responsible for the reasonable cost of repairing or replacing Hotel property damaged through their deliberate,
negligent or reckless actions.
Where damage results in a bedroom or other accommodation being unavailable for sale, the Hotel may also seek to
recover demonstrable losses reasonably resulting from that damage.
Where damage is discovered after departure, the Hotel may seek recovery from the responsible guest in accordance
with applicable law and payment-provider requirements.

Hotel property must not be removed from the premises without permission.
Guests responsible for removing Hotel property may be charged the reasonable replacement cost of the item, including
reasonable associated costs.
Hotel key cards must be returned when requested on departure. A charge of £25 may be made for a key card that is not
returned.
16. CCTV
CCTV operates in public areas of the Hotel and its grounds for the purposes of safety, security, crime prevention and
the protection of guests, staff and property.
CCTV is not used in guest bedrooms or other areas where guests would reasonably expect privacy.

17. Housekeeping
York House Hotel does not provide a daily room-cleaning service.
Guests may contact the Hotel during their stay if assistance or replacement room amenities are required.
18. Lost or Damaged Guest Property
The Hotel’s liability for loss of or damage to guests’ property is subject to applicable law, including the Hotel Proprietors
Act 1956 where applicable.
A notice concerning the Hotel Proprietors Act 1956 is displayed at reception.
Lost property will normally be retained for three months and may thereafter be disposed of if it has not been claimed.
19. Vehicles and Parking
Vehicles and their contents are left on Hotel premises at the owner’s risk, subject always to any liability which cannot
lawfully be excluded.
Guests are responsible for complying with applicable parking restrictions and regulations.
A vehicle must not be left on Hotel property for more than eight hours after the guest has departed without the Hotel’s
prior written agreement.
Where a vehicle is left without permission, the Hotel reserves the right to take such lawful and reasonable steps as are
available to have the vehicle removed, with reasonable costs recoverable from the vehicle owner where permitted by
law.
20. Statutory Rights
Nothing in these Terms & Conditions excludes or restricts any liability which cannot lawfully be excluded or restricts a
guest’s statutory rights as a consumer.

York House Hotel respects your privacy and is committed to protecting your personal information. This Privacy Policy
explains what personal information we collect, why we use it, who we may share it with, how long we retain it and the
rights you have in relation to your information.
1. Who We Are
York House Hotel is operated by York House Hotel Limited. For the purposes of UK data protection law, York House
Hotel Limited is the data controller for personal information processed in connection with the operation of the Hotel and
our website.

2. Information We Collect
Depending on how you interact with us, we may collect your name, postal address, email address, telephone number,
reservation and stay details, names of other guests included in a reservation, correspondence and requests, payment
and transaction information, and information required to verify your identity or reservation.
We may also process information relating to incidents, complaints, damage, security or guest conduct where necessary,
CCTV images where you enter an area covered by our CCTV system, and technical information generated when you
use our website.
We do not normally retain complete payment-card details ourselves where payments are processed securely by our
payment service providers.
3. Information Received From Third Parties
Where you book through a third-party booking agent, travel agent, company or another person, we may receive
personal information about you from that party. This may include your name, contact details, booking information, dates
of stay, number of guests, payment status and information necessary to administer your reservation.
Where somebody makes a booking on behalf of another person, they should ensure that the occupying guest is aware
that their information has been provided to York House Hotel.
4. How and Why We Use Your Information
We use personal information where necessary to process, administer and fulfil reservations; communicate with guests;
process payments, refunds and applicable charges; verify reservations and guest identities; provide hotel services;
administer cancellations and amendments; maintain appropriate business and accounting records; deal with enquiries,
complaints and disputes; protect guests, staff and Hotel property; prevent or investigate fraud, theft, damage or other
unlawful activity; operate CCTV; comply with legal and regulatory obligations; establish, exercise or defend legal claims;
and operate and maintain our website.
5. Our Lawful Bases for Processing
Depending on the circumstances, we rely on one or more lawful bases under UK data protection law:
Contract – where processing is necessary to take steps at your request before entering into a booking or to perform our
contract with you.
Legal obligation – where processing is necessary to comply with a legal obligation.

prevention, security, CCTV, dealing with complaints and disputes, protecting Hotel property and maintaining appropriate

Consent – where we specifically ask for consent. Where processing is based on consent, you may withdraw that
consent.
Vital interests – in exceptional circumstances where processing is necessary to protect someone’s life.
6. Payment Processing and Card Pre-authorisations
Online payments may be processed on our behalf by Stripe. Stripe may process payment-card, transaction, device and
related information as necessary to process payments, prevent fraud and provide its payment services.
York House Hotel does not normally receive or retain complete payment-card details entered through Stripe’s secure
payment facilities.
A card presented at check-in may be used to obtain the security pre-authorisation described in our Terms & Conditions
and, where properly authorised and applicable, to settle amounts due under those Terms & Conditions.
Payments associated with bookings made through third-party booking agents may instead be processed through the
payment arrangements operated by those agents or their payment providers.
7. Website, Cookies and Security Technologies
Our website uses cookies and similar technologies that are necessary for the operation of the website and its online
booking and payment facilities.
These include a WP Hotelier session cookie, which is used to maintain the booking session, and cookies used by
Stripe in connection with secure payment processing and fraud prevention.
Our online booking process may also load third-party security services, including CAPTCHA technology, to help protect
our website, booking facilities and users from automated abuse, fraud and other malicious activity.
We do not currently use Google Analytics or advertising cookies on the York House Hotel website.
If we introduce non-essential analytics, advertising or similar technologies in the future, we will update this notice and
obtain consent where required.
8. CCTV
CCTV operates in public areas of York House Hotel and its grounds for safety, security, crime prevention and the
protection of guests, staff and property.
CCTV is not used in guest bedrooms or other areas where guests would reasonably expect privacy.
CCTV recordings will only be accessed where reasonably necessary and may be disclosed to the police, insurers, legal
advisers or other appropriate parties where there is a lawful reason to do so.
Recordings are retained only for an appropriate period unless they are required in connection with a particular incident,
investigation, complaint or legal claim.
9. Who We May Share Information With
Where necessary and lawful, personal information may be shared with booking agents and travel intermediaries;
payment processors and card providers; IT, website and other service providers acting on our behalf; professional
advisers, including accountants, insurers and legal advisers; law-enforcement agencies; emergency services; courts,
regulators and public authorities; and other parties where disclosure is required by law or reasonably necessary to
establish, exercise or defend legal rights.
We do not sell your personal information.
10. How Long We Keep Information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and
to meet our legal, accounting, tax, insurance and dispute-resolution requirements. Different categories of information
may therefore be retained for different periods.

longer where reasonably necessary to resolve the matter or protect our legal interests.
When information is no longer required, it will be securely deleted, destroyed or anonymised as appropriate.
11. Marketing
Where permitted, we may use contact information to communicate with you about York House Hotel. Where consent is
required, marketing will only be sent with that consent.
You may unsubscribe from marketing communications at any time by using the unsubscribe facility provided or by
contacting contact@yorkhousehotel.com.
Stopping marketing communications does not prevent us from contacting you where necessary about an existing
reservation or another service you have requested.
12. International Transfers
Some service providers or booking partners may process personal information outside the United Kingdom. Where
personal information is transferred internationally, appropriate lawful transfer mechanisms or safeguards will be used
where required by UK data protection law.
13. Your Data Protection Rights
Depending on the circumstances and the lawful basis on which your information is processed, you may have rights
including the right to be informed; request access to your personal information; have inaccurate information corrected;
request deletion in certain circumstances; request restriction of processing in certain circumstances; object to certain
processing; data portability where applicable; and withdraw consent where processing is based on consent.
These rights are not absolute and may be subject to legal exceptions. To exercise your rights, contact

14. Complaints
If you have concerns about how York House Hotel uses your personal information, please contact us first so that we can
investigate.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data-protection

15. Security
We use appropriate technical and organisational measures designed to protect personal information against accidental
or unlawful loss, misuse, alteration, unauthorised access or disclosure.
No electronic or physical storage system can guarantee absolute security.
16. Other Websites
Our website may contain links to websites operated by third parties. York House Hotel is not responsible for the privacy
practices of websites that we do not operate. You should review the privacy information provided by those
organisations.
17. Changes to this Privacy Policy
We may update this Privacy Policy where our business practices, technology or legal obligations change. The current
